Duty Roster Builder

The weekly rota decides more service quality than the menu does, and it usually lives in someone's head until Sunday night. Enter your team, their base shifts and week-offs, and this builder lays out the week as a grid, counts who's on duty each day, and flags the day you're running thinnest, before the thin day finds out for itself.

People & SOPs — Duty Roster Builder
In short

A workable weekly rota gives every staff member one fixed week-off, keeps daily coverage above your minimum service level, and never stacks multiple week-offs on the same busy day. The grid shows on-duty counts per day so thin days are visible before they happen.

Coverage per day = staff whose week-off is not that day. The amber cell marks your thinnest day, cross-check it against your busiest service before publishing.

Amber marks your thinnest day, avoid stacking week-offs on your busiest services, and rotate the Sunday off fairly or it becomes a seniority perk.

How to use the Duty Roster Builder

  1. Add each staff member with role, base shift and week-off day.
  2. Check the coverage row, move week-offs off your busiest days.
  3. Copy the roster and post it where the team actually looks.

Frequently asked questions

How many staff do I need on a given day?

Work backwards from covers: our Staff-to-Cover Ratio calculator gives the per-role headcount for an expected service. The roster then has one job, making sure week-offs never drop a day below that number.

How do I handle the Sunday-off problem fairly?

Rotate it: publish a cycle where every eligible staff member gets one weekend off per month, seniors included. A Sunday off that always belongs to the same people is read by everyone else exactly as it is.

What about split shifts and double shifts?

Mark the base pattern here (Split covers the classic 11-3 / 6-11 hospitality day) and treat true doubles as exceptions logged for overtime, our Shift & Overtime Pay calculator does that math. A rota that silently assumes doubles is a resignation letter generator.
